The National Association for College Admission Counseling (NACAC), is an organization of more than 28,000+ professionals from around the world dedicated to serving students as they make choices about pursuing postsecondary education. Directors, deans, vice presidents, chancellors, program managers, and counselors working in colleges, universities, high schools, school districts, and community-based organizations are NACAC members. Independent consultants also comprise the membership.

Email Broadcast File Specifications

This limited-inventory opportunity allows your company to provide a fully-created HTML email to be sent to a targeted audience of your choosing. Please carefully review the requirements below and adhere to the digital ad production schedule to ensure a timely deployment.

HTML Materials Requirements for Advertisers

  • Fully designed, ready-to-send email in an HTML file (use a testing service such as litmus to confirm html validation and deliverability of code)
    • .HTM or .HTML File – FINAL HTML FILES ONLY. Any images used in your email must be linked back to an active website.
    • .TXT FILE – FINAL TEXT ONLY COPY OF THE FILE. Including all URLs as needed
  • Footer must include; Company Name, Full Address, Email Address and Unsubscribe Text
  • Subject line for email (40 characters maximum)
  • Pre-Header text for the email (75 characters maximum)

HTML Requirements

  • HTML emails should either be build in an outside HTML editor like Dreamweaver or inside an Email platform editor
  • 600-650 px wide
  • Uses inline CSS styles and does not reference an outside CSS stylesheet (like a webpage would)
  • 80/20 text to graphic ratio
  • Includes a text version
  • Does not use background images
  • Does not contain full URLs in the message body. Must use hyperlinks like “Click here” to prevent blacklisting domains in an email
  • Uses responsive HTML mark-up code to render correctly on mobile devices and tablets, etc.
  • Not generated in Microsoft Office or similar platform
  • Contain straight HTML, no JavaScript or embedded items like videos

Deadlines and Proofing

  • Materials are due at least two weeks prior to email send date
  • All content is subject to review by NACAC
  • Necessary alterations are the responsibility of and at the expense of the advertiser
  • Materials that do not meet stated advertising specifications will be rejected
  • Once the advertiser-provided HTML is approved by NACAC, a proof from NACAC’s email system will be sent for advertiser approval
  • A delay in materials or advertiser approval could jeopardize the send date and result in not running at all; or pushing out several months due to the popularity of this email blast opportunity

  • Make sure the “Subject Line” is positive and consider promotion of an “offer” in the “Subject Line”

A 2022 report issued by NACAC in conjunction with the National Association of Student Financial Aid Administrators (NASFAA) took aim at the systemic inequities that have plagued the overall population of colleges and universities and called on admission offices, institutional leaders, and policymakers to reconsider the design of their admission systems to better orient them to equity, particularly as it applies to under-represented racial minority students. Since the design of HBCUs places them at the epicenter of access for Black students in America, some of the recommendations in the 2022 report do not apply to them. However, others, such as application simplification, admission workforce support, and rethinking admission criteria and selectivity, are still ripe for examination. With HBCU admission officers, we can explore the challenges that limit their ability to recruit and enroll students, while also elevating the successful practices that make this segment of institutions so critical to our national equity goals.

All advertisements are subject to the approval of the Publisher.

Advertiser indemnifies The YGS Group and The National Association for College Admission Counseling (NACAC) against losses or liabilities arising from this advertising. The YGS Group assumes no liability whatsoever, except to the extent of a one-time paid advertisement of the same specification, in the next or similar publication, if any proven or admitted errors or omissions have occurred. Full payment is due net 30 days upon receipt of the invoice. Interest shall be charged at 2% per month compounded to yield 26.82% per year on overdue accounts. A charge of $30.00 will be levied against all returned checks. Revisions to previously submitted ad copy are subject to additional charges. In the event of a contract cancellation, the advertiser/or agency agrees to repay The YGS Group any discounts granted on multiple insertions less any discount applicable for the number of insertions completed in the contract. All cancellations must be received in writing prior to the advertising sales deadline. All premium positions are non-cancellable. Prices are net of agency commission. Ads may also appear in an online version of the publication(s). The YGS Group is not responsible for errors if a hard copy proof is not submitted with the electronic file. PRINT REQUIREMENTS AND FORMATS

  • A high-resolution PDF/X-1a file is required for all ads.
  • Colors must be CMYK. No ICC profiles, RGB, or Pantone colors.
  • Resolution of all photography and scanned illustrations must be at least 300 dpi. Line art should be 600 dpi.
  • Vital copy and images must be at least 1/8” away from trim. Spread ads must have at least 3/8” total gutter.
  • Materials should be submitted without crop marks, but full-page ads should include the required 1/8” bleed.
  • All fonts used must be embedded in the PDF file.
  • Using the bold, italic, or other style keys is not encouraged. Please use the bold or italic version of the font. (For example, instead of making Adobe® Garamond bold with the style key, use the actual font for Adobe® Garamond Bold.)
  • Flatten all layers and set transparency to highest setting.
  • Ads must be suitable to print as-is. Association is not responsible for any errors in content.
